Why some emails end up in the spam or junk folder and what you can do about it.
Almost everyone has experienced this: You're waiting for an important email – and later find it by chance in your spam or junk folder. This can happen even if the message comes from a completely reputable source. But why does this actually happen?
Reasons why emails are filtered out
Email programs and providers like Gmail, GMX, or Outlook use automatic filters to protect their users from unwanted messages. These filters check for specific criteria, such as:
-
Sender address : New or unknown senders may be blocked as a precaution.
-
Word choice and design : If the email contains terms that frequently appear in spam, it is more likely to be filtered out.
-
Technical settings : Minor deviations in security settings (SPF, DKIM, DMARC) can cause a message to end up in spam.
-
User behavior : If many recipients do not open or delete an email, the provider considers it "unimportant".
The problem: Even legitimate newsletters, order confirmations, or personal messages can mistakenly end up in the spam folder.
What you can do
-
Check your spam/junk folder regularly – especially if you are waiting for an email.
-
Do not delete suspicious emails immediately , but first check whether it is a genuine message.
-
Add the sender to your personal contact list : This signals to your email program that messages from this address are welcome.
